Privacy Policy

This Privacy Policy explains how Ascension Voice AI, a division of Ascension Strategies LLC ("Ascension," "we," "us," or "our"), collects, uses, and shares information in connection with our website ascensionvoice.ai and our AI phone-receptionist services (the "Service").

Two distinct roles: For people who visit our site or apply to work with us, we act as the controller of that information. When we operate an AI receptionist on behalf of a business client, we generally act as a processor handling caller information on that client's instructions — see Section 3(c) and the data processing agreement we provide to clients at onboarding.

2. Scope

This policy applies to our website, marketing pages, application/intake forms, and the administration of the Service. It does not change the terms of any separate agreement you have with us. If you are a caller interacting with one of our clients' AI receptionists, the business you called is responsible for its own privacy practices.

3. Information we collect

(a) Information you give us

  • Identity & contact details — name, business name, email address, phone number — for example when you submit our Founding Partner application or contact us.
  • Business information you choose to share during onboarding or a call (services offered, hours, booking preferences, etc.).
  • Any other information you include in messages to us.

(b) Information collected automatically

  • Device and usage data — IP address, browser type, pages viewed, referring URLs, and similar analytics data.
  • Cookies and similar technologies (see Section 6).

(c) Information processed on behalf of clients

When we provide the Service to a business client, the AI receptionist may process information about that client's callers, including: caller phone number, the content of the conversation (and, where call recording is enabled, audio recordings and transcripts), appointment and booking details, and any information a caller provides during the call. For this data the client is the controller and we act as processor under a data processing agreement we provide to clients at onboarding.

4. How we use information

  • To provide, operate, maintain, and improve the Service and our website;
  • To respond to applications, inquiries, and support requests;
  • To set up, configure, and tune a client's AI receptionist;
  • To send service communications and, where permitted, marketing (you can opt out of marketing at any time);
  • To monitor performance and analytics, secure our systems, and prevent fraud or abuse;
  • To comply with legal obligations and enforce our agreements.

Where required, our legal bases for processing include performance of a contract, your consent, our legitimate interests in operating and improving the Service, and compliance with law.

5. Call recording & monitoring

Where call recording or transcription is enabled for a client, the AI receptionist is configured to provide a disclosure to callers. Recording and monitoring of calls is subject to applicable law — several U.S. states require the consent of all parties to a call. Business clients are responsible for ensuring they have a lawful basis and any required consents for recording, transcription, and the handling of caller information. By default, call recording is off unless a client enables it.

6. Cookies & tracking technologies

We use cookies and similar technologies for essential site functionality, analytics, and advertising measurement. Where enabled, these include analytics and advertising tools such as Google Analytics, Google Ads, and the Meta (Facebook) Pixel; the specific tools may change over time. You can control cookies through your browser settings and any consent banner we provide.

7. How we share information

We do not sell your personal information for money. We share information only as described below:

We keep this list current; it may change as our service evolves.

  • Legal and safety — to comply with law, respond to lawful requests, or protect rights, safety, and property.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.

8. Data retention

We retain personal information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements, after which we delete or de-identify it. Retention periods for client caller data (including recordings and transcripts) are governed by the client's settings and the agreement we provide at onboarding. By default, we retain call recordings and transcripts for up to 12 months (or as a client configures), and applicant and contact information for up to 24 months after our last interaction, unless a longer period is required by law.

9. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to restrict or object to certain processing, and to withdraw consent. To exercise any right, contact [email protected]. We will respond as required by applicable law and will not discriminate against you for exercising your rights.

California residents (CCPA/CPRA)

You may request to know, delete, or correct your personal information, and to opt out of any "sale" or "sharing" of personal information. We do not sell personal information for money. To opt out of analytics or advertising cookies, you can adjust your browser settings, use any cookie controls we provide, or email [email protected] with the subject "Do Not Sell or Share."

EEA/UK residents (GDPR)

You have the rights described above and may lodge a complaint with your local data protection authority.

10. Data security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption of data in transit and at rest, access controls, and logging. The platforms on which the Service runs maintain SOC 2 Type II–audited infrastructure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

11. International data transfers

We are based in the United States and process information there. If you access the Service from outside the U.S., you understand your information will be processed in the United States.

12. Children's privacy

The Service is intended for businesses and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will delete it.

13. Third-party links

Our site may link to third-party websites or services we do not control. Their privacy practices are governed by their own policies.

14. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version here and revise the "Last updated" date. Material changes will be communicated as required by law.
